Terms of Service
These terms explain the rules for using Service Lots and its QuickBooks-connected business workspace.

1. Agreement and authority
By accessing or using Service Lots (the “Service”), you agree to these Terms of Service and the Privacy Policy. If you use the Service for a business or another organization, you confirm that you have authority to accept these terms for that organization.
You must also be authorized to connect and view any QuickBooks company that you select. If you do not agree, do not use the Service or authorize a QuickBooks connection.
2. The service and licence
Service Lots provides a hosted workspace that can synchronize permitted QuickBooks Online data, organize source-backed business records, and present operational views and review workflows. Features that are not available are identified as such; a page label or preview is not a promise that a feature has launched.
While you comply with these terms, Service Lots gives you a limited, revocable, non-exclusive, non-transferable right to access and use the Service for your internal business purposes. The Service, its interface, and its original software and content remain protected by applicable intellectual-property laws. These terms do not transfer ownership of them.
3. QuickBooks connection and consent
A QuickBooks connection begins only when you choose to connect, select a company in Intuit, review the requested access, and authorize it. Service Lots then uses that authorization to retrieve data for the connected workspace. The current integration is read-only with respect to QuickBooks; local review choices do not change your QuickBooks company.
You can manage the connection from Service Lots settings or from your QuickBooks integrations page. Disconnecting can stop synchronization and make connected features unavailable. QuickBooks is a third-party service governed by Intuit's own terms and privacy practices. Service Lots is not Intuit and does not control QuickBooks availability or source-data accuracy.
4. AI-assisted document processing and consent
Uploading a supplier bill keeps it in the private workspace and does not by itself send it to OpenAI. For each document, an owner or admin must review the disclosure and explicitly choose to send that document to OpenAI for structured extraction of bill fields and line items. Service Lots requests store=false. OpenAI's separate terms, policies, safety review, retention practices, and service availability also apply to that processing.
AI-assisted extraction can be incomplete or wrong. You must compare important values with the source document and resolve vendor, duplicate, total, and item mapping warnings. Processing and reviewing create only local Draft Bills; they do not post a bill or change QuickBooks.
5. Your data
As between you and Service Lots, you keep your rights in the business data you provide or authorize Service Lots to retrieve (“Customer Data”). You give Service Lots permission to host, copy, process, and display Customer Data only as needed to operate, secure, support, and improve the Service for you, or to comply with law.
You are responsible for the lawfulness and accuracy of Customer Data and for giving any notices or obtaining any permissions required for personal information contained in your books. Our handling of personal information is described in the Privacy Policy.
6. Account security
Keep access to your browser, devices, email, and connected QuickBooks account secure. Do not share access with anyone who is not authorized to see the connected company. Tell us promptly at info@servicelots.com if you believe the Service or a connection has been used without authorization.
7. Acceptable use
You may not use the Service to:
- break the law, violate another person's rights, or commit fraud;
- access a company, account, or data without permission;
- introduce malicious code or interfere with the Service;
- probe or bypass security, access controls, or usage restrictions;
- misrepresent your identity or your authority to act; or
- copy, resell, or reverse engineer the Service except where law permits it.
8. Business and accounting decisions
Service Lots is an operational software tool. It is not a substitute for your QuickBooks records and does not provide accounting, tax, legal, or financial advice. Verify material decisions against current source data and consult a qualified professional when appropriate.
9. Availability and changes
The Service depends on networks, hosting systems, and third-party services such as QuickBooks. Interruptions can occur, and we do not promise that the Service will always be available or error-free. We may maintain, change, add, or retire features as the Service develops. Material changes to these terms will be posted here with a new effective date.
Nothing in these terms excludes a right or responsibility that applicable law does not allow to be excluded.
10. Ending use
You may stop using the Service at any time. To end QuickBooks access, use the protected disconnect control in Service Lots settings or disconnect the app through QuickBooks. You may also contact us to request closure or deletion. We may restrict or suspend access when reasonably necessary to address a security risk, unlawful use, material breach of these terms, or a legal requirement.
11. General terms
If one part of these terms cannot be enforced, the remaining parts continue to apply. A failure to enforce a term once is not a waiver of that term. You may not transfer your rights under these terms without our consent. Contact us before relying on a translation; the English version controls.
